A step-by-step corporate picnic catering Dallas guide for DFW companies, from the planning timeline to activities and employee appreciation days.
This corporate picnic catering Dallas guide is for the person who has just been handed the company picnic. You may be in HR, operations or simply the most organized person on the team. Either way, you need a plan that gets approved, fits the workday and makes employees feel appreciated. I will focus here on the planning process: the timeline, the decisions in order and some company picnic ideas. If you want a worked budget for a large group, read our companion guide on corporate picnic catering for 100+ people.
A planning timeline that works
Six to eight weeks out
Set the purpose of the event first. Is it a celebration of a strong quarter, a summer tradition or an employee appreciation day? The purpose shapes the date, the location and the budget. Pick two or three possible dates, confirm the location and its rules for outdoor cooking, and get a rough attendance estimate from department leads.
Four weeks out
Choose the menu and request a quote. Send the date, the full address, the estimated headcount, the meal window and any extras. Once the quote is approved, review the booking terms and reserve the date. A deposit is required to hold it.
One to two weeks out
Finalize attendance and share dietary needs. Confirm parking, unloading access and where the grill will sit. Send employees a short note with the time, location and what to expect.
Company picnic ideas for Fort Worth and Dallas teams
Company picnic ideas do not have to be elaborate. A few simple activities give people a reason to mix across teams: lawn games, a short recognition moment from leadership or a team photo. Keep the schedule loose so people can eat when they are ready. For teams on the west side, see burger catering in Fort Worth. For Dallas offices, see burger catering in Dallas. Nearby cities such as Irving, Richardson and Plano have their own pages on our service areas page.
Place the meal in the day
Our packages include two hours of service. Decide whether the meal opens the event or comes after activities. If you plan a short speech, schedule it before or after the main rush at the grill rather than in the middle of it.
Employee appreciation day catering in DFW
Employee appreciation day catering in DFW has a different goal from a family picnic. The point is to thank people, so the details matter: food that is freshly cooked, a line that moves and a host team that is free to mingle instead of working the grill. On-site grilling does that. Our crew handles setup, cooking, teardown and cleanup, so managers can spend the time with their teams. For more ways to make the meal feel like recognition, see our employee appreciation catering ideas.
Dietary needs and choice
A workplace group will include a range of preferences. The Block Party includes hamburger, cheeseburger, grilled chicken and veggie burger choices. Other vegetarian and dietary needs can be accommodated on request, so collect them early and share them with your quote request.
Getting approval
An approver wants to see the full cost. Ask for an estimate that lists the package, guest count, extras, service charge and sales tax together. The same terms apply to every package, which makes it easier to compare options side by side.
Current burger packages and shared inclusions
The Cookout and The Block Party
The Cookout is $13 per person for a hamburger or cheeseburger with chips. The Block Party is $16 per person and includes everything in The Cookout plus your choice of two sides: Potato Salad, Baked Pork BBQ Beans, Creamy Coleslaw, Macaroni Salad, Fresh Fruit Salad, Seasoned Vegetables. Choose the combination that fits the meal you want, rather than assuming a larger menu is always necessary.
Gourmet Burger Bar
Gourmet Burger Bar is $19 per person. Includes: Sweet sourdough bun, Swiss & pepper jack cheese, sautéed mushrooms & jalapeños, grilled pineapple, bacon, guacamole, and homemade sauces, plus chips and your choice of two sides. All three packages use the same condiment line: Served with lettuce, tomato, pickle, onion, mustard, mayo, ketchup, salt, and pepper. Compare the three catering packages before making your selections. The Gourmet option uses the same $500 food and beverage minimum and shared add-on list.
The global package terms are the same for all three: $500 Food & Beverage Minimum | 20% service charge | 8.25% sales tax | 2-hour service | Professional on-site grilling and setup. Service charge and sales tax are added on top of the base package price. The Block Party includes a veggie burger option, and other vegetarian and dietary needs can be accommodated on request.
Which package fits a corporate picnic?
The Cookout is a straightforward lunch for a working day. The Block Party adds two sides and more protein choices for a fuller plate. Gourmet Burger Bar suits an appreciation event where you want the food to feel special. Compare all three in our catering packages, and see the 100-person budget example if your group is large.
Shared add-ons and What's Included
The same optional add-ons apply to every package: Hot Dogs +$3.00 per person; Bratwurst +$4.00 per person; Bottled Water & Assorted Sodas +$3.00 per person; Lemonade and Sweet Tea available for an additional +$1.00 per person; Dessert: Homemade Banana Pudding or Strawberry Shortcake +$4.00 per person. The lemonade and sweet tea option is an additional upgrade to the drinks selection, not a replacement price for bottled water and sodas. Keep your selected extras visible when requesting an estimate.
What's Included applies to all three packages: Tent, Grill, Lights, Buffet tables, Plates, Utensils, Setup, Teardown, Cleanup. Review this list alongside your site arrangements so included catering equipment is not confused with separate guest seating or other event supplies. Setup, teardown and cleanup are included, and the cooking and serving layout should be discussed for your actual location.
Booking and cancellation terms
A 25% non-refundable booking fee (deposit) is required to reserve your date. The remaining balance is due 7 days before the event. Cancel more than 7 days before the event and we refund the remaining 75% (the 25% booking fee is non-refundable). Cancellations within 7 days of the event are not eligible for a refund, but the full amount paid can be applied to a future event date.
Read the Booking & Cancellation Terms before reserving your date. When you are ready, use the quote form to send the date, actual event address, estimated attendance, preferred package, add-ons and meal window. Those details let us discuss a quote for your gathering instead of relying on a generic planning example.
